Handling Safety / Harrassment Issues with Members

First of all read Safety page for employees

LSAs can send the safety page to the affected employee

  1. Make sure the employee is ok.

  2. Alert and discuss with your Regional Manager to help discuss plan of action.  You don't have to deal with this by yourself.

  3. Leave a detailed Internal Note about the incident in the private Staff employee file, include member name and account number and the date.  Is there any additional history with this member?

  4. in the customer profile, leave notes but with no name of what employee was affected.  You can speak about the gender of the employee.  For example "on X date this member was stretched by a practitioner who reported [insert high level overview like "inappropriate comment", etc].

  5. Add a separate comment ALL CAPS where appropriate, make recommendation for future schedule adjustments.  Add this also to Key Note and place an Account Alert.

  6. Scheduling Adjustments for the Member could look like (discuss with RM):

    1. ONLY STRETCH WHEN OTHERS ARE IN THE STUDIO

    2. ONLY STRETCH WITH MALE PRACTITIONER

    3. DO NOT SCHEDULE WITH X PRACTITIONER (SEE NOTES)

  7. If an event requires more than the above steps, Regional Manager will assist to determine if the member can continue.

  8. We stand behind our employees and start first with action to protect and support any feedback of them being uncomfortable at their job.  At the same time, we want to not embarrass our members with a direct confrontation unless absolutely necessary.  We can discreetly make Scheduling Adjustment that track with the 3 options listed above  that send a subtle message, and if there is another incident we can speak more candidly about it.  Your Regional Manager /Jennifer would likely handle a conversation of that nature, so the next step would be to set a task for her if needed, or send an update email to keep her informed if you as LSA are handling the convo yourself.

A first conversation could look like "Thank you for being a valued member with us.  It looks like you had booked a session with X practitioner and she has had a change for that time slot and is no longer available.  Can I schedule you instead with Y practitioner instead?"
