How To Time Card Check (for LSAs)
Updated: Feb 13

Document to edit (shared to LSA Google Drive): Time Card Check 2025 / 2026
Steps:
Check for any remaining To Do tasks assigned to you (LSA) for time card adjustments. Requests to adjust time clock should be rare. Hold staff accountable to have good clock-in and clock-out habits to prevent extra work for you and also to ensure accuracy of shifts.
Once you have corrected any time clock errors for studio staff, proceed with the steps in the video to clearly and quickly communicate that you have looked over time cards and they appear correct to you.
As LSA you have the pulse on your studio. Take a moment to consider what employees are asking you to adjust and verify it makes sense, not just blindly adjust times. Recognize opportunities to coach staff for better habits, and use of their time while clocked in.
LSAs do NOT adjust their own time clock. Instead, always set a To Do task for your RMA to adjust your times, for accountability, accuracy, and a second set of eyes. LSAs do not work remotely unless specifically agreed to ahead of time by RMA or RM.
Feel free to stay on top of these tasks weekly or throughout the month. You can highlight what has been looked through as you go so there is less to review toward the end of the pay period.
DEADLINE: By 5pm on the first business day after the end of the pay period (which ends either the 15th or the last day of the month) LSAs are expected to have completed their payroll review, shading in all days and making all notes as necessary in the Time Card Check doc so that we can proceed to the next step in the payroll process and all our employees can be paid on time :)
Updated February 2026:
How to check employee time cards
1) go to Time Card Doc 2026
2) To check every employees time card follow steps below (I like to go left to right in order per name)
3) Start by going to Club Ready - click: Staff>Look up Staff Member> type employee name > Go to Options > View Time Clock In/Out > Pick Dates you need to look at > Generate time clock report.
4) Check all entries for that employee, looking for 9pm clock outs (the system auto clocks out at 9pm if an employee forgets to clock out), super long entries (double check anything more than 8hrs), accidental clock in's that may be only a few mins long (this is often that they forgot to clock in, but created a clock out time stamp when leaving), look for double entries, anything that seems off, etc.
5) Add anything that needs to be fixed to "time card check 2026" doc, with the correct timestamp needed and a short explanation (ex; clock in 1:45pm - forgot to clock in, time out correct)
6) Highlight the needed change BRIGHT YELLOW (see grid at top of timecard check for color references)
7) highlight ALL days that do not need a change blue. This lets the LSA know you checked this day and there is no error.
8) if there is a RED highlight in the doc, it means Management found a possible error they need you to check.
9) Repeat this process for ALL employees in your studio
Please use your eye for leadership when completing this doc, understanding it is your responsibility to complete it correctly, and also look for opportunities to hold employees accountable, making sure they are adding to the schedule what they did during white space, looking for opportunities to see what your employees work ethic is and how they spend their time.
Thanks for all your diligent work,
-Mandie
