Managing Time Off Requests (for LSAs)

May 13, 2025
2 min read

When an employee submits a Time Off Request through stretchthislife.com, it now automatically notifies the LSA email inbox as well as the regional manager.  Right now all LSAs get notified for every employee time off request, no matter what studio the employee is in.

If the person requesting time off does not work in your studio just delete the notification.

If it IS an employee from your studio, LSAs will now be the one to approve time off requests and block the employee Club Ready schedule with "Approved Off"for the day.  This way everyone can see that the correct process was followed and employees are not blocking their own days off.

*In the notification email, after you click View Summary, click "View in Sheets" where you can see a more user friendly view and a color coded breakdown for each studio to easily identify your own.

After you approve and block the requested day off, please go back to the Google sheet and add "Blocked by [your name]" so everyone can see at a glance that it is seen and handled.

Then, copy the employee email from the form and email them letting them know their request is approved/denied and cc Jennifer.

This system gives you freedom to manage your own studio schedule, knowing what your individual studio needs are, especially around event times, holidays, etc.  Usually we can accommodate time off requests with enough notice, but knowing ahead helps you prepare for additional staffing if needed.

LSAs should use the Time Off Request form as well and watch for an approval email from the regional manager, but in the meantime can block the days off requested with "Time Off Requested" while they wait to hear back.
