What to do in Practitioner White Space?

Feb 19, 2025
4 min read

To keep UTILIZATION above 80% so that you get raises for high utilization and the studio is most profitable, the best thing to do is clock out if you have more than an hour of "white space" (un-booked time slots) on your Club Ready calendar. IF you choose to stay clocked in or you have less than an hour of white space...

Good use of white space would be;

  • Make your session notes in client files

  • Look at client notes and prepare for your upcoming block of stretch sessions later that day. Ask about their progress, how they are enjoying sessions, are they experiencing progress? Congratulate them on milestones and make sure they are getting a new ROM assessment every 45 days (watch for their alerts, or set a time for one).

  • Check in on Slack to give energy and encouragement to your team! Do this at least once on each shift so we all feel like we're working together, even though our shifts may be at different times.

  • Check Customer Tasks assigned to you.

  • Ask for testimonials, referrals and reviews by keeping in the front of your mind opportunities that naturally occur in conversations. Who else could we help that your client knows? Did they just rave about their stretch?... tell Google, or tell a friend! Do they know how to refer a friend in for a complimentary stretch through their Client Portal?? Show them!

  • Answer phones, check texts and emails IF there is no Sales Associate available. Make sure to log all phone calls made in the client Work It tab using your own login so that you get credit for outreach. The more white space that is on your day, the more outreach is expected. Do at least 10 calls and 10 texts per day so that the studio can reach the daily outreach goal of 150 contacts (and 15 demos booked!) if your schedule allows.

  • Do care calls and care texts to clients that you regularly stretch if you notice they have been absent from your calendar or the studio recently. Check their notes first to see if they may have been in, but may have been stretched with another practitioner.

  • Call Lost Sheep - these are clients that have session credits to use but have not been in for at least 2 weeks to use them. These people will cancel their membership eventually if they aren't coming in and we don't help them stay accountable, so let's show we care about helping people by taking the time to reach out and get them back on our calendar and into good habits!

  • Cleaning: check the Studio daily checklist for today and complete cleaning items and initial them off so others can know they are done. You can also look ahead on the LSA tab and work on weekly cleaning items (see items below).

  • 15 minute break: If you are working longer than 3 hours, you are provided a paid 15 minute break while clocked in to take care of personal items, grab a snack, check your phone, ready or study, or just have a quiet moment in the employee lounge for yourself. Please be responsible to watch the time carefully or set a timer for yourself, so that when 15 minutes are done you can get right back to work and supporting your team and contributing to the growth of the studio :)

If the above items are complete, next go to the following tasks;

  • Check the schedule for the following day and offer back-to-back sessions to any of your clients that have a white space next to their time slot

  • Look over and update Key Notes for any clients that day to make sure that any practitioners can easily see the latest Range of Motion assessment numbers, any injuries or modifications of note, the client's goal, and what stretch protocol program their are on (from the back of the spiral book). If there is not a 16 week protocol assigned for them to follow, use your expertise and the notes on what they want to assign a stretch program for them. Sell Add-on sessions as needed.

  • Do Continuing Education for Practitioners. Click and increase your knowledge of stretch zone methods, how to refine your client or demo stretches and your customer experience.

  • Seasonally, assist with decorating the studio or taking down and putting away decor from a previous holiday or event.

  • ASK your studio lead or the Sales Associate on duty what you can help with. Often they are working on deadlines and day specific projects that they would really love help with. After you have done all that you know to do in studio, see if there is more you can do to help!
